Voicemail

HVAC voicemail script examples

Good voicemail is short, confident, and clear about the next action. It should never sound like a generic customer service script that could belong to any company in any industry.

Missed-call callback voicemail

Hi, this is {{name}} with {{company}} returning your call. Sorry we missed you. Call us back at {{number}} or reply to our text and we will get the right next step moving for your HVAC issue.

After-hours voicemail

Hi, this is {{company}}. We are away from the phones right now, but we did receive your call. Leave your name, number, postcode, and a short note about the issue and we will route it as soon as the team is back.

Estimate follow-up voicemail

Hi, this is {{name}} with {{company}} following up on the estimate we sent over. No pressure. I just wanted to make sure you had what you needed and see whether any questions or timing changes came up. Call or text us back when convenient.

Common voicemail mistakes

  • speaking too long before saying why you called
  • not giving one simple next action
  • using generic wording that sounds mass-produced
  • ending without confirming what happens after they respond

The paid toolkit includes voicemail, SMS, email, and callback assets that are designed to work together instead of as isolated scripts.
