Plumbing Estimate Follow-Up Templates: The 4 Emails That Close 40% More Jobs

A plumber sends 15 estimates per week. Average close rate on first visit? 28%. That means 10-11 estimates go cold every single week — customers who needed the work, liked the price, but "need to think about it."

Here's the stat that should keep you up at night: 65% of homeowners who don't book immediately will hire the first plumber who follows up within 48 hours. Not the cheapest. Not the closest. The one who followed up.

The problem? Most plumbers either don't follow up at all, or they send a one-liner that reads like a bill collector. _"Just checking in on that quote..."_ — delete.

Below are 4 email templates you can copy, customize, and deploy today. Each has a specific job.

Template 1: The Same-Day Recap (Send within 2 hours of the estimate)

Subject: Your water heater replacement estimate — {{Company Name}}

> Hi {{First Name}},

>

> Thanks for having us out today. I've attached the estimate we discussed — it covers the {{Job Type, e.g., 50-gallon gas water heater replacement}} including removal of the old unit, all fittings, and a 6-year warranty on labor.

>

> The total is {{Amount}}, valid for 30 days. If you'd like to move forward, I have availability on {{Date 1}} and {{Date 2}} — first-come, first-served.

>

> No pressure. If you have questions about the estimate or want to adjust the scope, just reply to this email or call me at {{Phone}}.

>

> {{Your Name}}

> {{Company Name}}

Why it works: Delivered while your truck is still fresh in their mind. Professional. No desperation. The availability mention creates gentle urgency without being pushy.

Template 2: The Value Add (48 hours later — no reply)

Subject: A quick thought on your {{Job Type}}

> Hi {{First Name}},

>

> One thing I forgot to mention when I was at your place: if you're comparing quotes, make sure you're comparing warranties, not just prices.

>

> Our {{Product}} comes with a {{X-year manufacturer warranty}} plus our {{Y-year labor warranty}} — which means if anything goes wrong in the first {{Y}} years, you're not paying a dime for the fix. Most quotes you'll get include parts coverage only, and labor is where the real costs hit.

>

> Happy to answer any questions.

>

> {{Your Name}}

Why it works: You're not "checking in." You're adding value they didn't have before. It reframes the comparison in your favor and positions you as the expert, not the salesperson.

Template 3: The Social Proof Nudge (Day 5-7)

Subject: We just finished a {{Job Type}} in {{Neighborhood}}

> Hi {{First Name}},

>

> Quick note — we wrapped up a {{Job Type}} yesterday in {{Nearby Area}} and the homeowner sent us this: _"{{Insert real testimonial about speed, cleanliness, quality}}."_

>

> I know you were weighing options for your {{Job Type}}. If the timing works, I still have {{Day of Week}} open next week. Let me know.

>

> {{Your Name}}

Why it works: Social proof is the most powerful conversion tool in home services. A real testimonial from someone in their area is worth 10 phone calls. It also subtly signals _"we're busy, but we'll make room for you."_

Template 4: The Clean Break (Day 10-14 — last touch)

Subject: Closing out your estimate — {{Company Name}}

> Hi {{First Name}},

>

> Totally understand if the timing isn't right. I'm going to close out your estimate in our system, but I wanted to leave the door open: if anything changes — budget, urgency, scope — my number is {{Phone}}. No hard feelings either way.

>

> If you'd prefer I reach back out in {{X months}}, just let me know and I'll set a reminder.

>

> Thanks for giving us the chance to quote.

>

> {{Your Name}}

Why it works: This one is counterintuitive but critical. It signals scarcity (the offer is closing), respects their decision, and keeps the door open. About 15% of our users get a callback within 48 hours of sending this — because it removes pressure entirely.

The Numbers Don't Lie

Plumbers using a structured 4-step follow-up sequence report an average close rate increase from 28% to 39% on estimates. On 15 estimates/week at an average job of $1,200, that's an extra $1,980 per week — over $100,000/year in recovered revenue.

If you're not following up, you're not just leaving money on the table. You're handing it to the plumber who does.
